Privacy and Usage Policy

RemoExperts values your privacy. Please read this policy carefully to understand how we collect, use, and disclose your personal information across all of our services, as well as your rights regarding your personal data. By accessing or using any of the services described in this policy, you agree to the practices described here.

1. Who We Are

We are Remoexperts Inc. (d/b/a "RemoExperts," "REX," "we," "our," or "us"). RemoExperts is a global task and knowledge-sharing platform dedicated to helping individuals work flexibly across time and location to advance the development of artificial intelligence.

In this policy, references to "we," "our," or "us" mean Remoexperts Inc. and its affiliates, which are responsible for collecting, using, sharing, or otherwise processing your personal information. Where applicable, Remoexperts Inc. acts as the data controller.

2. Scope of This Policy

This policy explains how we collect, use, and share personal information when you access or use:

  • The RemoExperts website (https://www.rex.zone);
  • The Contributor Portal at portal.rex.zone;
  • Our mobile application, RemoExperts (the "App");
  • Our browser extension, Rex KeepAlive;
  • Our related mobile or web services, software, platforms, or applications (collectively with the above, the "RemoExperts System" or "Platform"); or when you participate in RemoExperts activities, or otherwise interact with us.

3. Personal Information We Collect

"Personal information" (or "personal data") means information related to an identifiable natural person. Definitions may vary depending on applicable data protection laws.

3.1 Information You Provide Directly

  • Registration Information: Name, address, country, phone number, email, education, and work background.
  • Identity Verification Information: Government-issued ID, selfies, or video submissions for identity and skills verification.
  • Service Usage Information: Task completion records, submitted content (text, audio, video), which may include biometric data.
  • Marketing, Events & Communications: Contact details provided when subscribing to newsletters or registering for events.
  • Survey Information: Responses to surveys or research participation.
  • Financial & Payment Information: Information necessary for payments and tax compliance, such as online payment account identifiers.

3.2 Information Collected Automatically

When you use our website, Portal, App, or extension, we automatically collect device- and session-related information such as IP address, user agent, browser type, operating system, device model, timezone, browser locale, and referring website. For details on cookies and similar technologies, please refer to Section 13.

3.3 Compliance Extension (Rex KeepAlive)

For certain exams, assessments, projects, or work sessions, we may require the installation and activation of our approved browser extension, Rex KeepAlive, to verify your work environment and meet project compliance requirements.

When you install and use the extension, we may collect and process:

  • IP address;
  • User agent;
  • Device fingerprint and browser environment signals;
  • Timezone;
  • Extension installation and activation status;
  • Session status; and
  • Geolocation (latitude and longitude)-location accuracy varies with device and environment, typically ranging from a few meters to several hundred meters.
  • Login credentials (Token)Approximate location information derived from network signals such as IP address.

We use this information to support account security, identity consistency, fraud prevention, compliance verification, and trusted work-environment checks.

Refusal to grant location permission will not affect normal daily use of the Platform, but you may be unable to apply for or participate in specific exams or projects that require location verification.

The extension does not block web content and does not function as an ad blocker. Refusal to install or activate the extension may render you ineligible for specific exams or projects.

3.4 In-Session Compliance Signals in the Portal and App

Independently of the browser extension, we passively collect the following technical signals during your active sessions on the Contributor Portal and the App, from session start until session close:

  • IP address;
  • User agent;
  • Device fingerprint and device information (including device model);
  • Timezone; and
  • Precise geolocation (GPS coordinates), collected only after you grant permission through your operating system's location prompt. The prompt appears when you:
    • Enter an exam page on the App; or
    • Apply for a project through the Portal.
  • If you decline, you may still use the Platform, but certain project or exam features may be unavailable. The system may re-request location permission at subsequent triggers.

We may collect these signals on a periodic basis during active sessions in order to detect changes indicative of location misrepresentation, unauthorized account sharing, or other Platform abuse.

Where both the extension (§3.3) and in-session collection (§3.4) are active, we may deduplicate signals to avoid redundant processing; both channels are treated as equivalent inputs to our compliance and risk-detection logic.

We collect compliance signals in five scenarios during your active sessions on the Platform. The first three scenarios involve passive/automatic collection; signals from these scenarios are deduplicated with extension data (§3.3) at the backend and treated as equivalent inputs. The fourth scenario requires an OS-level permission prompt; the fifth scenario requires an in-App explicit consent screen.

Scenarios 1–3: Passive/Automatic Collection

While you are actively using the Platform, we automatically collect the following signals:

  • IP address;
  • User agent (browser/App version, operating system identifier);
  • Device fingerprint (browser canvas/font/plugin fingerprint / unique identifier);
  • Timezone;
  • Session status (logged-in / not logged-in / session duration);
  • Approximate geographic location derived from IP (country/region level, not precise GPS);

Scenario 1: Contributor Portal Session. When you are logged in to portal.rex.zone, from login until logout or session close.

Scenario 2: Exam & Training Annotation Session. When you are logged in to app.rex.zone (exam and training annotation system), from entry until you navigate away or close the session.

Scenario 3: Rex KeepAlive Extension. When the Rex KeepAlive browser extension is installed and activated (§3.3), from activation until deactivation or logout. In this scenario, we also collect extension installation and activation status. Signals from Scenarios 1–3 are deduplicated with §3.3 extension data at the backend and treated as equivalent inputs to our compliance and risk-detection logic.

Scenario 4: Precise Geolocation — OS-Level Permission

  • Field: precise geolocation (GPS coordinates, latitude and longitude);

Scenario 5: Device Model — In-App Consent Screen

  • Field: device model;

Collection Frequency:

  • For Scenarios 1–3: IP signals are checked approximately every 2 minutes. If the IP has changed from the last check, it is immediately logged. If unchanged, IP and device signals are summarized and recorded once per hour.
  • For Scenario 4: GPS is collected only once per trigger point (entering an exam page or applying for a project), not continuously.

Impact of Declining:

Refusal of Scenarios 1 and 2: There is no user-facing decline option for these scenarios, as they are technical signals collected automatically while you use the Platform. If you do not wish these signals to be collected, you may choose not to use the Portal or App.

Refusal of Scenario 3 (extension): If you do not install or activate the Rex KeepAlive extension, you may be unable to apply for or participate in specific exams or projects that require extension-based verification. General browsing, settlement inquiries, and other basic functions are not affected.

Refusal of Scenario 4 (GPS): You may still use all Platform functions. However, if you decline the OS-level location permission, the system will not re-request it unless you manually adjust your browser or device settings. You may be unable to apply for or participate in specific exams or projects that require location verification.

Refusal of Scenario 5 (device model): You may be unable to participate in specific projects that require device compatibility verification. Other basic App functions are not affected.

3.5 Sensitive Personal Information

Under certain U.S. state privacy laws (including the California Consumer Privacy Act as amended by the CPRA) and comparable frameworks, the following categories we collect may qualify as "Sensitive Personal Information" ("SPI"):

  • Precise geolocation (as described in Section 3.4);
  • Biometric data (facial images and video collected during identity verification via Persona, including liveness detection; and biometric data included in submitted content as described in Section 3.1);
  • Government-issued identification (passports, national ID cards, or driver's licenses, including document images, document numbers, date of birth, and nationality, as described in Sections 3.1 and 6);
  • Financial and payment information (online payment account identifiers and tax-related information necessary for payments and tax compliance, as described in Section 3.1);
  • Inferred location history and movement patterns (IP-based geographic location, 24-hour location change analysis, and IP history sequences used for fraud prevention and compliance verification, as described in Sections 3.4 and 4).

We use SPI solely for: (i) identity verification, (ii) fraud prevention, (iii) compliance and Platform-integrity purposes, and (iv) other purposes permitted by applicable law without a separate consumer opt-out.

We do not use SPI to infer characteristics about you, to serve targeted advertising, or for any purpose that would require an opt-out right under CPRA §7027.

California residents may exercise the right to limit the use of SPI as described in Section 10.

3.6 Information from Third Parties

Examples include:

  • Data shared through Google or Facebook login (e.g., name, email).
  • Tax information provided by payment processors.
  • Verification results provided by third-party identity verification providers (e.g., Persona).
  • Fraud-prevention and workforce-analytics data provided by third-party partners (e.g., Hubstaff), such as IP-address history, time-tracking, and geographic signals.

We process personal information for the following purposes:

  • Provide Services: To fulfill our contractual obligations with you.
  • Operate and Manage the Platform: Ensure system stability and functionality, including authentication, session management, and app performance.
  • Personalized Experience: Recommend relevant tasks and services.
  • Improve Services: Enhance user experience and develop new features.
  • Marketing and Promotions: Send you product and event updates.
  • Security, Fraud Prevention, and Compliance: Prevent fraud, abuse, and security incidents; verify identity consistency, work-environment integrity, and location authenticity via compliance extensions and in-session signals described in Sections 3.3 and 3.4.
  • Payments and Settlements: Process compensation for completed tasks.
  • Legal Compliance: Fulfill obligations to government authorities and regulators.
  • Device Compatibility Verification: Determine whether your device meets requirements for specific opportunities, after your consent (App only).
  • Other Business Operations: Data analytics, audits, and internal reporting.

We apply automated risk-control rules to evaluate two dimensions: (1) "Environmental Safety" (location, network,) and (2) "Account Activity Risk" (multi-device/multi-person usage suspicion). Each dimension is rated Low, Medium, or High. If either dimension is rated High, the assessment details are recorded and may affect settlement and project eligibility. All automated outputs are subject to human review before any material action is taken. Users do not have the right to refuse automated decision-making, but may request human review of any decision that materially affects them by contacting us at recruitment@rex.zone.

Where GDPR applies, our legal bases include: (i) performance of a contract (Art. 6(1)(b)); (ii) our legitimate interests in fraud prevention and Platform integrity (Art. 6(1)(f)); (iii) your consent, where required — such as for precise geolocation (Art. 6(1)(a)); and (iv) compliance with legal obligations (Art. 6(1)©).

While we may suggest tasks based on your self-reported skills, RemoExperts does not use automated algorithms or Artificial Intelligence (AI) to perform user profiling for advertising or automated decision-making that produces legal or similarly significant effects without human involvement.

5. Sharing and Disclosure of Information

To support our global operations, your information may be accessed by authorized personnel in the United States and the Asia-Pacific region. Regardless of the location of our personnel, we apply the same high standards of data protection and security measures described in this policy.

We may share personal information in the following circumstances:

  • Affiliates: To provide and improve the RemoExperts System.
  • Business Partners: For example, if your account is created by a corporate client, its administrators may access your data.
  • Service Providers: Under contract, only to process data on our behalf.
  • Clients: Identity verification results or task-related content may be shared when required to complete tasks.
  • Other Users: Limited user content may be shared for collaboration purposes.
  • Workforce Analytics and Time-Tracking (Hubstaff): Hubstaff is a third-party workforce analytics tool used only for specific projects requiring time tracking.
  • Identity Verification (Persona): Persona is our KYC verification provider. Fraud-Prevention and Identity-Verification Providers: Including time-tracking, IP-intelligence, and identity-verification vendors (e.g., Hubstaff, Persona), solely to detect inconsistencies and prevent Platform abuse.
  • Third-Party Advertising and Social Media: For marketing and promotional purposes (see Cookie Policy in Section 13).
  • Third-Party Platforms: In certain cases, your account information may be used or accessed by third-party platforms to support system integration, provide related services, or complete identity verification. These third parties will process your data in accordance with their own privacy policies.
  • Legal and Regulatory Requirements: To comply with applicable laws or protect safety.
  • Corporate Transactions: In case of a merger, acquisition, or asset transfer.

For clarity, we will only share your information with third-party partners or our clients for specific project requirements after obtaining your explicit, separate consent for that specific instance of sharing, when required by applicable law.

6. Data Retention and Deletion

We retain your general personal information for a period of six (6) months following your last interaction with the Platform, financial and tax records retain as required by applicable tax laws. If no further authorization or activity is recorded within this timeframe, your personal information will be permanently deleted or subjected to irreversible anonymization, unless legal obligations require a longer retention period.

Fraud-prevention and security logs (including the technical signals described in Sections 3.3 and 3.4) may be retained for 12–24 months where necessary to detect and investigate abuse and to protect the Platform, in accordance with applicable law.

7. Security Measures

We implement reasonable physical, technical, and administrative safeguards to protect your information. However, no system can guarantee 100% security.

8. International Data Transfers

As a global platform, RemoExperts utilizes a distributed infrastructure to ensure system stability and performance. Your personal information is primarily transferred to and stored on Amazon Web Services (AWS) servers located in Ohio, USA. We also maintain backup systems and secondary servers in California, USA. By using the RemoExperts System, you acknowledge that your information will be processed and stored in these locations. Regardless of where your information is processed, we implement the safeguards described in this policy to ensure your data remains protected according to applicable standards. Your information may be transferred to the United States or other countries where data protection laws may differ. Regardless, we will always protect your information in accordance with this policy.

9. Mobile App — Account Management

Account creation and management are handled through our website. The App does not currently support in-app account registration.

Users may access their account settings at https://portal.rex.zone/profile to:

  • Manage their account information;
  • Request account deletion; and
  • Delete their account and associated personal information.

For app-store compliance, the App also provides an in-app link that directs you to the account-deletion page on our website.

After submitting an account deletion request, we will process the deletion in accordance with applicable privacy laws and our data retention requirements. Certain information may be retained where required for legal, security, fraud prevention, or other legitimate business purposes.

10. Your Rights

Depending on applicable law, you may have the right to:

  • Access, correct, or delete your personal information.
  • Withdraw consent (including revoking OS-level location permission at any time through your device settings).
  • Restrict or object to processing.
  • Exercise data portability.
  • Limit the Use of My Sensitive Personal Information (California residents, CPRA §7027 — see Section 3.5).
  • Request human review of an automated decision that materially affects you (see Section 4).
  • File a complaint with a data protection authority.

11. Minors

The RemoExperts System is not directed to individuals under 18. If we discover that we have collected personal information from a minor, we will delete it.

12. Working Location Policy

RemoExperts operates in specific locations only. Account registration is not available in all regions. Some projects may be restricted to contributors from specific states, regions, or countries. Your location also determines applicable tax forms.

During onboarding, you may be required to verify your identity and location using a government-issued ID and other personal information, to confirm you are located in a region where RemoExperts operates. Once verified, your Primary Location will be assigned, and you may only work from that location.

If you relocate to another country, or to a different state within the United States, please contact our support team and provide a valid government-issued ID from your new location to update your primary work location. For international travel, you may submit a "Travel Request" through the Contributor Console to apply for temporary work authorization in another eligible country.

If you attempt to work outside your Primary Location or fail to update it after relocating, your account may be paused until the new location is verified. If you encounter issues during verification or onboarding, please contact our support team for assistance.

The location signals described in Sections 3.3 and 3.4 are used, in part, to enforce this Working Location Policy.

This section explains how RemoExperts uses cookies and other tracking technologies, and your choices in managing them.

13.1 Definitions

  • Cookies: Small data files stored on your device to recognize your browser, enable features (e.g., ads, interactive content, analytics), and record information. Cookies may be first-party (set by RemoExperts) or third-party (set by external providers), and can be session cookies (for a single visit) or persistent cookies (for multiple visits).
  • Third-Party Cookies: Managed by providers such as Facebook, LinkedIn, and Google, used to build interest profiles, measure ad effectiveness, and deliver targeted ads.
  • Session Cookies: Enable website features and track interactions; deleted when you close your browser.
  • Persistent Cookies: Store login credentials, preferences, and activities until expiration.
  • Web Beacons: Unique identifiers embedded in websites, ads, or emails to track engagement. For example, marketing emails may contain web beacons that notify us when you click a link.
  • Local Storage Objects: Store content and preferences locally on web pages to enhance user experience.
  • Mobile SDKs and Identifiers: The App may use software development kits (SDKs) and mobile advertising identifiers (such as IDFA on iOS or AAID on Android) for analytics and crash reporting.

13.2 Categories of Cookies and Similar Technologies

RemoExperts and its partners use cookies and similar technologies in these categories:

  • Strictly Necessary: Required for Platform functionality (e.g., login, privacy settings, form submissions, fraud and compliance signals described in Sections 3.3 and 3.4).
  • Functional: Remember preferences and personalize content.
  • Targeting/Advertising: Enable partners to provide relevant ads and content, including across other websites.
  • Performance/Analytics: Track visits, traffic sources, and Platform performance. Some cookies may collect personal data or become personal data when combined with other information.

13.3 Managing Cookies and Mobile Preferences

  • Consent Tool: Upon first visit, you can customize cookie preferences via the consent banner and update them anytime. Strictly necessary cookies cannot be disabled. Disabling functional cookies may impact certain features.
  • Browser Controls: Most browsers allow you to refuse or delete cookies. Some features may be restricted if cookies are disabled. Refer to your browser's help menu for instructions.
  • Mobile Device Settings: Control advertising data via your device (e.g., enable "Limit Ad Tracking" on iOS or "Opt out of Ads Personalization" on Android). You may also revoke OS-level location permissions at any time.
  • Third-Party Cookies: Manage preferences via the Network Advertising Initiative (NAI), Digital Advertising Alliance (DAA), or, in the EU, the European Interactive Digital Advertising Alliance (EDAA).
  • Do Not Track (DNT): Not all browsers support DNT, and there is no industry consensus. Currently, RemoExperts does not respond to DNT signals.

13.4 Analytics Services

RemoExperts uses analytics providers to aggregate data and improve services. Data may be transferred to and stored in the United States. Usage is subject to each provider's Terms of Use and Privacy Policy:

  • Google Analytics: Analyzes website traffic; opt-out available via Google's opt-out tools.
  • Hubstaff Analytics: Connects website activity with customer engagement; see "Managing Cookies" for instructions.

14. Updates to This Policy

We may update this policy periodically. Significant changes will be communicated via email or Platform notifications.
